Events and Business Coordinator

The European Broadcasting Union (EBU) is looking for an Events and Business Coordinator.
ABOUT THE EBU EUROVISION SONG CONTEST (ESC)
The Eurovision Song Contest exists to show that we are united by music. It is the world's largest live music event, with 35 broadcasters taking part in 2026 and watched by 135 million people across the globe, 57% of whom were aged 15-24.
The contest is growing, with the first Eurovision Song Contest Asia taking place in 2026 and further continental editions and associated events and activities planned.
PRINCIPAL RESPONSIBILITIES OF THIS POSITION
Support the Director ESC and Commercial Director ESC, including diary and travel management
Calculate, communicate and invoice participation fees, and calculate and communicate redistribution amounts
Liaise with EBU Accounting for invoicing requests and follow-up, and provide financial and admin support during month-end closing, monitoring and budgeting
Act as first point of contact for IT, HR and Finance matters within the team
Manage departmental credit card expense reporting and support VAT reclaim, in coordination with EBU Accounting
Contract administration: creation of new suppliers, PO creation and tracking, drafting and tracking freelancer/consultant contracts, and contracts management
Coordinate Reference Group meetings (the contest's governing body), including agenda preparation, organization and secretariat duties
Organize team meetings, in-person meetings and Head of Delegation meetings
Support event-time VIP and ticketing coordination
Maintain key contacts databases
YOUR SKILLS AND EXPERIENCES
At least 5 years of experience in a similar role
Experience of assisting high-level individuals, partners and stakeholders
Experience of contributing to the delivery of music events, broadcast or other high-profile events
Experience providing secretariat support to boards
Experience in finance administration
Experience supporting busy teams on complex events, including VIP management and ticketing
A strong team player, able to think ahead and plan
Solid technical understanding of the digital landscape
Exceptional English written and verbal communication skills
Tons of energy, passion, humor and enthusiasm
Self-motivated, with a willingness to learn and adapt in a fast-paced environment
LANGUAGE - English: Advanced level required.
EDUCATION - professional/high school qualification.
